Refund Policy – Quba Welfare Foundation

Quba Welfare Foundation values donor trust, transparency, and accountability. This Refund Policy explains how refund requests, duplicate payments, payment errors, and failed transactions are handled for donations/payments made through our website or authorized payment gateway.

1. General Donation Policy

All donations made to Quba Welfare Foundation are voluntary charitable contributions to support our welfare and humanitarian projects. Donations may be used for clean water projects, food support, orphan care, education, healthcare, and other charitable activities.

However, if a donor requests a refund within the allowed refund period, Quba Welfare Foundation will review and process the request according to this policy.

2. Refund Request Timeline

Donors may request a refund within 24 hours of making the donation/payment.

Refund requests received after 24 hours may not be accepted if the donation amount has already been allocated, processed, or used for charitable activities.

3. Refund Eligibility

Refunds may be considered in the following cases:

  1. Duplicate payment made by mistake.
  2. Incorrect amount entered by the donor accidentally.
  3. Technical error during payment processing.
  4. Failed or pending transaction where the amount was deducted.
  5. Unauthorized or fraudulent transaction, subject to verification.
  6. Any genuine refund request submitted within 24 hours of the transaction.

4. Refund Processing Time

Once a refund request is received within the allowed 24-hour period, Quba Welfare Foundation will verify the transaction details.

If the refund request is approved, the refund will be processed after approval from the bank/payment gateway. After bank or payment gateway approval, the refund may take up to 7 working days to reflect in the donor’s original payment method or bank account.

5. Non-Refundable Cases

Refunds will generally not be issued in the following cases:

  1. Refund request is made after 24 hours of the transaction.
  2. Donation has already been allocated or used for charitable activities.
  3. Donor changes their mind after the allowed refund period.
  4. Donor provides incorrect or incomplete transaction details.
  5. The payment was successfully processed and no valid refund reason is provided.
  6. The project or beneficiary support has already been arranged using the donated amount.

6. Required Information for Refund Request

To request a refund, the donor must provide the following details:

  1. Full name
  2. Phone number
  3. Email address
  4. Donation amount
  5. Transaction ID/payment reference number
  6. Date and time of payment
  7. Reason for refund request
  8. Payment proof, receipt, or bank/card deduction screenshot if required

Refund requests cannot be processed without proper transaction verification.

7. Failed, Pending, or Duplicate Payments

If the donor’s amount is deducted but the donation is not confirmed, the donor should contact Quba Welfare Foundation with payment proof.

After verification with the bank/payment gateway, Quba Welfare Foundation will either confirm the donation or process the refund according to the transaction status.

Duplicate payments will be reviewed and may be refunded if reported within 24 hours of the transaction.

8. Payment Gateway and Bank Charges

Refunds are subject to bank/payment gateway rules and approval. Any bank charges, gateway charges, transaction fees, or processing fees may be deducted from the refundable amount where applicable.

Quba Welfare Foundation is not responsible for delays caused by the donor’s bank, card issuer, wallet provider, or payment gateway.

9. Chargebacks and Disputes

Donors are requested to contact Quba Welfare Foundation before raising any chargeback or dispute with their bank. Direct communication helps resolve payment issues faster and avoids unnecessary delays.
